Rules and Regulations
Help us keep the UC safe and clean!
All reservation requests are processed by UC (University Center) Reservations following university procedures and policies. Policies referenced include the following:
All provided event invoices must be paid within 30 days of reception. Failure of payment will result in a hold being placed on all future bookings.
- All decorations must be approved by the UC Staff at least five (5) business days before the event. The client may be subjected to fees, or immediate termination of your activities or event should there be damage to the event spaces from unapproved decorations.
- Prohibited items are as follows but not limited to:
- Taping or adhering anything to walls, floors, windows, doors, or other building surfaces
- Open flames (candles, etc.), electric candles with no wax or wick are allowed
- Glitter or confetti of any kind
- Helium balloons
- Heavy dyed beverages such as red or blue punch
- Smoke, haze, or similar type machines
- Any type of red drink
- Paint of any kind (water, oil base, etc.)
- Fog machines (including dry ice) are not permitted in the UC without advanced written permission.
Entities using space are responsible for damage to facilities or equipment, as well as cleanup, and may be charged accordingly.
- Food service must adhere to Islander Dining catering guidelines.
- For university (student and departmental clients) events, any event with 400 guests or more are required to utilize Islander Catering.
- Alcohol service requires prior approval and adherence to university policies, including police presence and proper permits. Please fill out this form.

UC Food and Beverage Form: This form serves as compliance for catering services and does not constitute a food order. Once the form is signed by the UC Event Coordinator, please continue to contact your preferred caterer for further arrangements. Reservations NOT confirmed within 2 days are subject to cancellation or relocation. Any event in the UC with food will need to complete the UC Food and Beverage Form. Please complete and submit to your event coordinator or the UC Scheduling team.

Food Truck Form via EHS: This form is to be used when food is to be distributed or sold on or in University properties, including off-campus preparation for distribution or sale on campus via food trucks or mobile units. The University follows all local and state health and sanitation regulations and guidelines with regard to food handling. Submit this completed form to the University Services Department by email to neftali.rivera@tamucc.edu no later than 15 working days prior to the event. Failure to complete the form as prescribed will result in non-consideration of your request. This signed form, which indicates approval, must be displayed at the food distribution site at the time of the event. Incomplete or illegible forms will not be approved. Any changes must be documented, submitted, and approved prior to the event. All fees will be complete prior to the event date.

Barbecue Grills & Other Outdoor Cooking: Safety Information

If the event requires a hot works permit and/or a fire extinguisher. Departments are responsible for providing their own.
- Grills and other open flame cooking equipment may only be used outside and may NOT be set up under any overhang, in a tent, or on any balcony or rooftop.
- Grills and open flame cooking equipment must be set up on level ground at least 6 feet from walkways and 25 feet from buildings.
- Equipment must be set up so smoke from cooking does not enter any buildings.
- Charcoal must be completely extinguished and cold before disposal and must not be dumped onto the ground.
- For grills and a barbecue at least one 5-pound ABC fire extinguisher must be present. Never remove extinguishers from buildings.
- Portable propane and natural gas tanks must be properly secured to prevent them from tipping over and tanks may not be brought into university buildings.

Indoor cooking may only be done in kitchens and kitchenettes.

Use of deep fryers and other cooking equipment that generates grease laden vapors is restricted to kitchens equipped with the appropriate ventilation hood & suppression systems.

Warming equipment used to reheat or keep prepared foods warm may be used in areas other than kitchens, provided that:
- Warming equipment may not be placed in corridors, stairways or exit pathways.
- All equipment must be UL listed.
- All cooking and heating appliance shall be used and maintained in strict accordance with the manufacturer's instructions.
Failure to abide by these guidelines may result in disciplinary measures and/or sanctions to the organizations including, but not limited to, cancellation of the event in progress, cancellation of other reservations, and/or loss of scheduling privileges.
BEVERAGE EXCLUSIVITY: The university has an exclusive contract with Coca-Cola. All beverages served or donated must be a Coca-Cola brand, including bottled water.
Public performance permits (movie rights) are required for screenings of movies and documentaries outside the home.
- Copyright licenses can be obtained from Swank Motion Pictures, Criterion Pictures, or directly from copyright owners.
- Shows from Kanopy service provided through the Mary & Jeff Bell Library can be shown without a separate license.

Alcohol:
- Alcoholic beverages are not allowed in or around the building except as part of an officially approved event in adherence to University policies.
Bicycles, Roller Blades, and Skateboards:
- Bicycles are not allowed in the building; roller blades and skateboards may be carried but not used. Bicycles should be secured at outside bike racks, not attached to columns, light poles, or railings. Running is not permitted in the UC.
Equipment:
- Tables, chairs, staging, A/V equipment, etc. may not be removed from the UC. A signed equipment loan agreement form must be completed with UC Scheduling before equipment may be picked up.
Outdoor Sound Amplification:
- Amplified sound is monitored and restricted to reduce interference and/or disruption to classes and other academic activities. The use of any type of amplified sound system by student organizations, university departments, or other event/activity sponsors must be approved in advance through UC Scheduling.
Shirts and Shoes:
- Shirts and shoes must be worn at all times in the building for hygiene and safety reasons.
Smoking/Vaping:
- Smoking and/or vaping is prohibited in the UC. Smoking is only allowed in designated areas around campus. Vaping is not permitted anywhere on campus. Please see Tobacco Use, Smoking, and E-Cigarettes/Vaping 34.05.99.C1.
Telephone/Computer/Printer/Office Supply Use:
- Telephones and other office equipment at the Information Desk and in offices are for UC business use only. Printers/copiers are available at Campus Copies in the UC East Entrance for a small fee. Scissors, tape, paper, markers, etc. are not loaned out; supplies are available from the Campus Store.
Unaccompanied Children:
- An adult must accompany children who are not 18 years old and / or are not students while in the building. During camps, conferences, and other special events, children/teenagers may use the facilities of the University Center if accompanied by adult chaperones. Children left unattended in the lounges, game room, rotunda, etc. will be escorted to parents / chaperones.
